Privacy Notice

Who we are

Evense (Avenue Coghen 220, B-1180 Uccle, Belgium — VAT BE0874968308) is the data controller for the personal data described in this notice. For any privacy question, contact us at contact@evense.com.

What we collect

When you submit our enquiry form, we collect your name, email address, organisation (if provided), the purpose you selected and your message. We do not collect any other personal data through this website beyond what is strictly necessary to operate it (see our Cookie Notice).

Why we process it, and on what basis

We use enquiry data to respond to you and, where relevant, to discuss and deliver an executive search, strategy and leadership, or recruitment process outsourcing engagement. Processing is based on your consent (given when you submit the form) and, once a business relationship exists, on our legitimate interest in managing that relationship and on steps necessary to perform a contract.

If you are a candidate discussed in connection with a search mandate, Evense may process information about your professional background as part of that engagement. That processing is based on Evense’s legitimate interest in conducting the search on behalf of its client, balanced against your rights — see Candidate Support for more on how that process works.

How long we keep it

We retain enquiry data for as long as necessary to respond to you and, where a business relationship develops, for its duration plus a reasonable period required by law or for legal defence. Our current default is 24 months from your last contact with us, after which data is deleted or anonymised unless a longer period is required by law. Candidate and client data connected to an active or recent search mandate is retained for the duration of that engagement plus a reasonable period afterwards.

Who we share it with

We do not sell personal data. We may share it with service providers who help us operate our systems (for example, hosting and email delivery), acting under our instructions and appropriate confidentiality and security safeguards. We do not transfer personal data outside the European Economic Area except where a service provider requires it, in which case we use an appropriate safeguard such as the European Commission’s standard contractual clauses.

Your rights

Under the GDPR you have the right to access, correct, erase or restrict the personal data we hold about you, to object to certain processing, and to receive your data in a portable format where applicable. To exercise any of these rights, contact us at contact@evense.com. You also have the right to lodge a complaint with the Belgian Data Protection Authority (Autorité de protection des données / Gegevensbeschermingsautoriteit, Brussels).

Cookies

This website uses only strictly necessary cookies. See our Cookie Notice for details.

Security

We apply reasonable technical and organisational measures to protect personal data against unauthorised access, loss or misuse.

Changes to this notice

We may update this notice as our processing activities or legal obligations change. This is a Beta version of our privacy notice, published so it can be reviewed and refined alongside the rest of this site; the practices it describes are accurate as implemented today.
